Set up Email Auto-Forwarding Rules – Gmail
This article explains how to configure Gmail so that incoming emails are automatically forwarded to another mailbox (for example, your Accounts Payable (AP) invoice mailbox).
- Step 1 – Open Gmail Settings

Step 1 – Open Gmail Settings
Log in to Gmail.
Click the ⚙️ gear icon in the top-right corner.
Select See all settings.
Step 2 – Add a Forwarding Address
Go to the Forwarding and POP/IMAP tab.
Under Forwarding, click Add a forwarding address.
Enter the destination mailbox (e.g.
ap@yourdomain.com
).Click Next → Proceed → OK.
Gmail will send a verification email to the forwarding mailbox.
Step 3 – Verify the Forwarding Address
Log in to the forwarding mailbox.
Open the Gmail verification email.
Either click the verification link or copy and paste the confirmation code back into Gmail.
Once verified, the forwarding address will appear as active.
Step 4 – Enable Forwarding
Go back to Gmail settings (Forwarding and POP/IMAP tab).
Under Forwarding, select:
Forward a copy of incoming mail to → [chosen forwarding address].
Choose what happens to the original Gmail copy:
Keep Gmail’s copy in the Inbox (✅ recommended)
Mark Gmail’s copy as read
Archive Gmail’s copy
Delete Gmail’s copy
Click Save Changes.
Step 5 – (Optional) Create a Filter Rule
If you only want to forward specific types of emails (e.g. invoices only):
In Gmail, go to Settings → Filters and Blocked Addresses → Create a new filter.
Enter your filter conditions (e.g.
Has attachment
orFrom: supplierdomain.com
).Click Create filter.
Tick Forward it to → [chosen forwarding address].
Click Create filter again to apply.
