Question

How to process password-protected PDF files in SmartUi Cloud?

Scenario: Vendors and customers send us Password-protected documents which fail to ingest into SmartUi and are moved to the exceptions folder in outlook.

Answer

It is impossible to import password-protected PDF files from an email. However, there is a way to remove the password and re-process the file rising a pdf editor.

Once the password is removed it can be re emailed into the system.

If the PDF file is not protected from printing, it is possible to reprint the PDF as a not-protected PDF and reprocess. This will delete the password protection from the PDF alongside other metadata and SmartUi will be able to process the document. 


To do this follow the below steps.

  1. Open the pdf in a pdf viewer e.g ABBYY Finereader, Adobe acrobat or other.
  2. Users can now navigate to the File menu, and choose Print (as PDF).
  3. Print and save the file to a Folder (This removes the password protection).
  4. Create a new email and attach the newly saved unprotected file
  5. Email the document into SmartUi via your SmartUi ingestion email address.
