Logging in First Time
Your first login to SmartUi Web Verification takes about two minutes. You open the link from your welcome email, sign in, pick the Web Verification Station and land on your list of queues.
This guide is for new users. It walks through each screen you will see and tells you what every button does.
Step 1. Open the right URL
When your user account is created, you get an email notification. It has the link to your SmartUi site. Copy that link into your browser.
Check the address before you go on. A wrong URL is the most common reason a first login fails. If the page does not load, compare it with the email again.
Step 2. Log in
The link opens the Log In to base page.
- Type your user name in User name. It usually looks like
tenant\username. - Type your password in Password.
- Click LOG IN.
After login you go to one of two places. Most users see their Personal Page. Some users go straight to Web Verification. In that case, skip to Step 4.
Step 3. Open the Web Verification Station
The Personal Page shows your name, email and login. Below that is a list of Available web stations. Click Web Verification Station.
Next you may see Select project and role. This screen only shows up if you have access to more than one project.
- Pick your project in Project, for example Accounts Payable.
- Pick your role in Role, for example Verification Operator.
- Click Select.
If you only have one project, SmartUi skips this screen and logs you in right away.
Step 4. Work from the Queues screen
The first screen you see is Queues. Each card is a queue of tasks you need to complete, for example Exceptions, Verification or Pending PM Review. A task is usually one invoice.
Each card shows how many tasks are in the queue, how many are assigned to you, and the priority. You can start work in two ways:
Button | What it does |
|---|---|
Explore queue | Opens the full list of invoices in that queue, so you can pick one |
Get Task | Gives you the next invoice from that queue right away |
Find your way around
A few more controls are useful from day one:
Where | Control | What it does |
|---|---|---|
Top bar | Queues | Brings you back to the list of queues |
Top bar | Batches | Shows the batches of documents in the system |
Top bar | Postponed Tasks | Shows tasks you put aside to finish later |
Bottom right | Get any task | Gives you the next task from any queue you can access |
Top right corner | Your name | Opens account settings and Log off |
What comes next
When you open a task, SmartUi loads the invoice and its details on the verification page. How to check and fix an invoice is covered in the next training.
Quick checklist for your first login:
- The URL matches the one in your welcome email
- You can log in with your user name and password
- You can open the Web Verification Station
- You picked the right project and role, if asked
- You can see your queues
Queues Explained
After you log in, Queues is the main screen you will use every day. It shows the queues you have access to. Each queue holds tasks, and a task is usually one invoice or one statement.
This guide explains what each queue is for, how to pick your next task and how to set up the task list so it works for you.
The four queues
Most users see four main queues. Each one holds a different kind of work.
Queue | What is in it |
|---|---|
Verification | All invoices waiting to be checked |
Verification Statements | All supplier statements waiting to be checked |
Pending PM Review | Invoices you sent to the project manager for review. They wait here until the PM is done |
Exceptions | Invoices that failed to export to Jonas because of an error |
Each card also shows how many tasks are in the queue, how many are assigned to you, and the priority.
Two ways to start work
Every queue card has two buttons. Use the one that fits how you want to work.
Button | What it does | Use it when |
|---|---|---|
Get Task | Opens the oldest invoice in the queue right away | You just want to work through the queue in order |
Explore queue | Shows the full list of tasks in the queue | You need a specific invoice or batch |
Explore a queue
Explore queue shows every task in the queue as a list. For each task you see the batch name, its details and any comments.
You can set up the list the way you like:
- Filter tasks by different fields to find what you need.
- Drag column headers to change their order.
- Show or hide columns in the column settings, for example Priority. Task ID always stays, because you need it to open a task.
- Change page size to see more or fewer records on one screen.
Open a task
When you find the task you want, click Get task next to its Task ID. SmartUi opens that invoice so you can review it.
How to check and fix an invoice is covered in the next training.
